Completing Your Program of Study (POS) at Warner

A Program of Study (POS) is a student’s individualized plan with their advisor that identifies the courses they need to successfully move through to complete their program.  It is for program planning purposes, and acts as a roadmap for students as they work through their programs.  It is fundamentally useful to students and faculty as a tool for guiding course registration, and to Warner leadership and staff for monitoring student’s progress and to project course enrollment.  Programs of Study can be found by a student or an advisor by logging into their My Warner account.  UR Student should be used for accessing students’ course completion records towards degree completion. 

Students should meet with their advisor as soon as possible after matriculation to complete their POS to ensure that they are taking the correct courses in the appropriate order.  POSs should be completed by the student and their advisor by the end of the first semester for full-time students, and the end of the second semester for part-time students.  Once signed by the student and advisor, the POS will automatically get submitted to the Program Chair and the Associate Dean for their signatures. 

In general, please note that a POS lists all required courses, possible options for elective courses (if applicable), the semesters courses are offered, and any prerequisite or corequisite courses (listed in square brackets after the course title).  By hovering over the course number, a general course description, the semester the course is usually offered, and the course modalities (e.g., in person, online, or hybrid) are provided as well as additional information.

Below are some guidelines for students and their advisors in completing a POS in MY Warner

  1. Check the POS title, degree, and program code to verify that this is the correct program for the student. 
  2. Indicate in the top section whether the student will be seeking any additional certificates or licensure. If “YES”, ALSO review the POS for that program, and incorporate the plan for the completion of these requirements as well.
  3. Enter the Start Term, any Internship Start projections (if applicable), and the best estimate for “Expected Graduation Date” in the top right box (this is only an estimate and can always be updated)
  4. If applicable, the advisor should review the student’s transcript to determine if there are courses previously taken that are appropriate to transfer into the program. Please review Warner’s Transfer Policy carefully. Course descriptions and/or syllabi may need to be provided to complete review and approval of transfer courses.  Advisors should type in/enter the course name and grade for allowable transfer courses in line with the Transfer Policy (do NOT enter these courses/credits anywhere later in the POS as this will “double-count” these credits). These will be reviewed by the Program Chair and the Associate Dean for Graduate Studies. 
  5. The student and the advisor should then discuss the student’s progress through the program term-by-term indicating which courses, clinical experiences, capstone experiences, key milestones, and/or other requirements are to be fulfilled and when. The specific criteria for each section of courses (e.g., noting any prerequisites, course modality, etc.) should be reviewed carefully. 
  6. If applicable, the student and advisor should discuss electives that meet program requirements and are of interest, select the course number/title, and indicate the projected semester that the course will be taken.
  7. Throughout this process, the advisor should record any clarifying information in the “Notes” space at the top of each section. These notes can be very helpful for the next person in reviewing the POS.
  8. Lastly, the student and advisor should add their electronic signature to the POS which will then be sent to the Program Chair and Associate Dean for Graduate Studies for their approval. Once approved, a copy is sent to the student, the advisor, and uploaded to the student’s file in MY Warner.
  9. Once signed, the student will no longer be able to make any edits to the program of study. While a student’s program plan can change, any adjustments must be made by the advisor.  It is important that students and their advisors meet at least annually to review the POS, make changes or updates, and monitor progress.

     

Additional notes:

  • The course credits/program totals should add up to at least the requirement for the degree in all cases, and equal or exceed the required number of credits in each section. Thus, course credits cannot be “waived” but may be substituted by applicable courses/credits.  These should be recorded as Notes in the POS.
  • By typing in “TAKEN” in a blank line, courses that the student has taken at Warner and are not currently counted in some other section of the POS, will show up in a drop-down menu.  These courses can be used for transfer courses OR as retroactive courses (can be up to 9 credits taken at Warner before matriculation into the current program depending on the program) if they are appropriate in the given section.  DO NOT record any courses in two places.
  • All degree-seeking students must continuously enroll each fall and spring until program completion (see Continuous Enrollment Policy) AND must maintain good academic standing and progress (see Academic Standing Policy).
  • When students are closer to degree completion (see guidelines here), they should fill out the “Application for Graduation”.  If this date needs to be changed, students should fill out the “Expected Completion Date Change Form” to update these records in UR Student.
  • If a student is seeking an additional certificate or licensure, they must take at least one course that is above and beyond the primary degree program.  Students should consult with the University Financial Aid Office to ensure that these courses are eligible for aid.
  • In some cases, while the POS provides an overview of the academic experiences required for the program, some certification/licensures have additional requirements to complete independently and outside of the program in order to be granted that certification/licensure (e.g., completing a certain number of years of mentored experiences). Students and advisors should work closely together so that these additional requirements are clear and planned for.
